Veterinary Receptionist Pets And Vets Animal Clinic 1181 71st St, Miami Beach, FL 33141 Job Summary The purpose of this position is to serve as receptionist at Pets and Vets Animal Clinic, to perform record-keeping duties related to animal patient care and treatment, and to provide miscellaneous support to the veterinary practice and staff. This position requires a practical knowledge of hospital organization and services, the basic rules and regulations governing visitors and animal patient treatment, data entry, word processing, mail service, and a practical knowledge of the standard procedures, veterinary records, and terminology used in the hospital . Responsibilities Prepare for upcoming appointments by preparing needed forms in advance of the client’s arrival. Prepare all required forms such as exam forms, admission forms, previous records, annual client forms, TNR and Open the practice and set up for the day as directed. Make sure the front doors are unlocked. Check lab-work reports for the appropriate doctor. Also, accurately mark the lab-work results in the lab portal. Welcome clients and patients to the practice and provide for their comfort while they are here. This includes greeting clients, showing them to the waiting area or exam rooms, and assisting with entry to and exit from the clinic. Ensure that all clients waiting in the waiting room have been

by following established clinic policies and procedures in referring clients for immediate treatment of their animals when requests are accompanied by complaints of acute symptoms. Determine nature of the illness or injury and attempt to reassure distressed pet owners. Follow

Present clients with medications, instructions, food, and any other items to take home. Reviews the services that were rendered to the pet ( ITEMIZE

) and inform client of the total amount due. Assure that owners meet all financial obligations or that acceptable arrangements have been made. Accept payment from the client.
ACCURATELY PROCESS CASH, CHECKS, CARECREDIT, AND CREDIT/DEBIT PAYMENTS.
Schedule appointments for the appropriate doctor after obtaining all necessary information from the client regarding the patient’s condition. Confirm all appointment information with the client: date, time, doctor, reason for coming in, samples client should bring along. Exercise a technical knowledge of products sold, such as heartworm prevention, flea treatment, and over the counter products. Enter data into the computer system as required. Assist in the updating of client/patient files as needed, including name, address, phone numbers, email addresses, and medical history.
MANDATORY.
Retrieve and refile medical records accurately and promptly. Diligently respond to client communications left for the doctors on the computer. Text to client (if appropriate) once refills have been approved. •
