This role is the first point of contact for patients and prospects and sets the tone for the entire patient experience. The ideal candidate will be adept at delivering outstanding customer service, managing inbound leads, nurturing relationships over time, and contributing to sales efforts through effective follow-up.   • Greet and check in patients, ensuring a warm and welcoming environment.
  • Manage phone calls, emails, and in-person inquiries efficiently and courteously.
  • Maintain an organized and clean reception area, including patient waiting areas. Customer Service
  • Provide accurate and relevant information regarding services, appointment scheduling, and billing processes.
  • Address patient inquiries and concerns, escalating complex issues to the appropriate team member or department.
  • Build positive relationships with patients through empathetic communication and follow-through. Lead Follow-Up & Nurturing
  • Track and manage all incoming leads from phone calls, website inquiries, emails, and referrals.
  • Follow up with prospective patients in a timely and professional manner to schedule consultations or appointments.
  • Maintain ongoing communication with prospects to nurture relationships and keep them informed about services, promotions, or relevant updates. Sales & Promotional Activities
  • Cross-promote services and products offered by the practice based on individual patient needs.
  • Support marketing campaigns by sharing promotional materials and explaining service benefits.
  • Encourage patients to take advantage of special promotions, loyalty programs, or new services. Administrative Support
  • Accurately enter patient information into the electronic medical records system.
  • Assist with billing processes, invoice management, and insurance verifications, ensuring compliance with all relevant regulations.
  • Maintain confidentiality of all patient information as required by HIPAA and internal policies. Qualifications & Skills
  • Education & Experience
  • High School Diploma or equivalent required; associate’s degree or higher preferred.
  • Previous experience in a medical office or healthcare setting strongly preferred.
  • Proven track record in customer service and/or sales support roles.
  • Technical & Interpersonal Skills
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with electronic medical records (EMR) systems.
  • Excellent verbal and written communication skills, with the ability to present information clearly and professionally.
  • Strong organizational skills and attention to detail, with the ability to multitask in a fast-paced environment.
  • Ability to work both independently and as part of a collaborative team.
