Job Overview:

We are seeking a friendly, organized, and detail-oriented Front Desk / Administrative Assistant to be the face of our spa. This role is ideal for someone who thrives in a fast-paced, client-focused environment and has a passion for wellness and aesthetics.

Key Responsibilities:

Greet clients with a warm, welcoming attitude and check them in/out efficiently Answer phone calls, emails, and messages in a professional and timely manner Schedule and confirm appointments, manage calendar changes Process payments and maintain accurate records using spa management software Maintain cleanliness and organization of the front desk and reception area Provide administrative support such as filing, inventory management, and data entry Educate clients about services, promotions, and pre/post-treatment instructions Coordinate with medical professionals to ensure smooth operations Handle sensitive client information with discretion and in accordance with HIPAA regulations

Qualifications:

High school diploma or equivalent; Medical Assistant is a plus 1+ years of front desk, receptionist, or administrative experience (medical or spa setting preferred) Excellent communication and interpersonal skills Strong organizational and multitasking abilities Proficient in Microsoft Office and comfortable learning new software (experience with spa or EMR systems a plus) Professional appearance and demeanor Ability to work evenings or weekends, if required
