Summary We are seeking a highly organized and experienced Office Assistant to join our team at IDEA Insurance Agency. In this role, you will be responsible for assisting our Operations team to provide support in the entire process helping our brokers. This position will be involved in all stages of the Broker onboarding process to our agency. The goal is to provide remarkable service and support to our brokers, ensuring them to be ready to sell in a fast and timely manner. In addition, the Office Assistant will be responsible for assisting agents with contracting related questions, resolve agent contracting issues with insurance carriers and communicate with agents daily to confirm contracting status. Furthermore, you will be responsible for guiding new agents with insurance products recertification questions, continued education and registration with different enrollment platforms. The ideal candidate will have a great amount of administrative and communication experience, with strong verbal and writing skills, detail oriented. Performance Objectives Answer all calls and address questions and needs in a effective way Greet visitors and provide immediate assistance Manage follow up process with agents in all onboarding steps Shows empathy and understands agents’ needs Reaches out to current agents as needed to inform them of current contracting status Is highly organized and able to follow processes and systems in place Manages the company’s customer relationship management (CRM) system, including inputting and organizing agents and customer data Responsible for maintaining the upkeep and organization of the lobby Assists agents with contracting and certification process with all health and life insurance products Communicates daily and follows up with agents’ growth Answers agents’ questions and concerns regarding contracting and certification process Follows daily reports protocol within the organization Follows up on contracting and agent’s ready to sell status from each of the insurance companies Assists Operations’ leadership with miscellaneous office relate task Requirements and Key Competencies 2+ years of experience in an insurance /admin related role Strong communication and writing skills High school diploma or GED required, Associate’s degree is preferred+ Ability to resolve problems Passionate about completing tasks Communication and writing skills Strong attention to detail and ability to manage multiple projects concurrently Ability to work independently and as part of a team Proficiency with software such as Google Workspace, Slack, Notion, ASANA and other relevant platforms Preferably bilingual in English and Spanish Must be comfortable communicating with agents via phone and in person on a daily basis Initiative and organization skills are a must If you’re ready to contribute to a dynamic team that values growth and success in the insurance industry, we invite you to apply today at IDEA Insurance LLC!
