The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently. This role is essential in maintaining a welcoming environment while ensuring smooth administrative operations. Responsibilities Greet and welcome guests as they arrive, providing a positive first impression. Manage incoming calls, directing them to the appropriate personnel while demonstrating excellent phone etiquette. Perform data entry tasks accurately, ensuring all information is up-to-date and organized. Maintain filing systems and assist with clerical duties as needed. Schedule appointments and manage calendars for staff members. Handle administrative tasks such as proofreading documents and managing correspondence for administrative team. Assist Team Secretaries with administrative tasks as needed. Cross train and back-up office assistant and runner positions including conference room set-ups and general administrative office duties. Ensure the front desk area and conference rooms are tidy and presentable at all times. Skills Strong organizational skills to manage multiple tasks effectively. Proficient in administrative duties with a focus on detail-oriented work. Experience as a legal receptionist or office assistant is a plus. Excellent time management skills to prioritize tasks efficiently. Experience with data entry processes and Microsoft Office software applications. Strong proofreading abilities to ensure accuracy in documentation. Ability to maintain professionalism in all interactions with clients and staff. Demonstrated clerical skills with an emphasis on maintaining confidentiality.
