ASSISTANT/ RECEPTIONIST

Boca Office Center Boca Raton, FL Looking for an Administrative Assistant / Receptionist for Executive Suites located in a Class A office space in a prime location in Boca Raton, FL. Salary commensurate with experience at this full-time, permanent position. Work Monday through Friday, 8:30 AM to 5:30 PM.

Position Summary:

Responsible for administrative functions, answering of multi-line switchboard and assisting with the on-site operations of the executive suites.

Job Description:

Provide administrative support Assist with HR duties such as recruiting and on-boarding of employees Greet clients and customers Answer busy multi-line phone system File, fax, copy, scan, email and perform data entry Route packages and mail to tenants Coordinate and schedule meeting rooms for clients Stock kitchen, copier and additional supplies Take inventory and track stocked items Monitor billing and collections Handle customer and tenant inquiries, issues and complaints Maintain physical condition and maintenance of executive suites

Requirements:

High School Degree or Equivalent (GED) 2 years of administrative experience Experience in answering a multi-line phone system efficiently Strong written, verbal communication and follow-up skills Seeking someone who is personable, well organized, able to multi-task and is customer service savvy Must have Microsoft Office skills (Excel, Outlook and Word) Good understanding of basic accounting Social Media Marketing experience a plus; Adobe Photoshop, Illustrator or InDesign experience a plus
