Provides the highest level of customer service by greeting guests, clients and associates in a professional, warm, and sincere manner while supporting overall business efforts. Provides the highest level of Team support by communicating professionally and clearly to other team members to best assist the Company’s overall goal. Qualifications:
  • 1+ year experience working in a professional office environment as Receptionist or Front Desk Administrator Charismatic, up-beat, positive, friendly personality
  • Proficiency and solid understanding of working in Microsoft Excel, Outlook, and Word
  • Good professional appearance and habits
  • Personable, professional, confident, flexible, detailed oriented and a quick worker
  • Ability to multi-task and handle interruptions without getting flustered. Strong organizational skills reflecting the ability to perform and prioritize multiple tasks with high quality and excellent attention to detail and to be adaptable to various competing demands.
  • Experience working in team environment
  • Proficiency in answering multi-line phone systems
  • Communicates clearly and professionally with customers, vendors and team members
  • Experience in organizing files and maintaining file systems
  • Communicates directly with vendors on matters relating to cleaning services, maintenance, general disruptions, and communicating and arranging repairs.
  • Ability to order and inventory office supplies
  • Assist with special projects and overflow tasks
  • Outstanding team player willing to help at a moment’s notice and a keen ability to prioritize urgent matters
Responsibilities:
  • This role includes managing incoming calls, maintaining office supplies, handling administrative tasks, and acting as the first point of contact for customers and office visitors.
  • Handling receptionist duties such as managing multi-line phone systems and routing calls to various people
  • Handling communications via phone, email, and occasionally text messages; this includes looking over reviews and responding accordingly
  • Scanning documents as needed
  • Maintains the supply closet and kitchen area, ordering general office materials, supplies, and kitchen supplies, and organizing lunches when required
  • Utilizing Microsoft Suite for various tasks, including data entry and email correspondence
  • Organizing files and scheduling appointments as necessary
  • Being able to handle both busy and slow days effectively
  • Ensures that kitchen and restrooms are stocked and restocked daily with adequate inventory of cups, paper towels, toilet paper, utensils, dish soap, hand soap, etc.
  • Confirms sufficient resources are provided at common office stations and equipment (copy/fax paper, pen/pencils, staples, etc
  • Performs other office related duties as assigned or directed
  • Maintain existing systems and develop systems where necessary
  • Process mail & Fed Ex deliveries
  • Notify of delivered Samples to appropriate department for processing Bilingual a plus
Job Type:
