Role Description This is a Full-Time on-site Front Desk Receptionist role at West Boca Executive Suites located in Boca Raton, FL. The Receptionist will be responsible for greeting clients, answering phone calls, handling mail, preparing meeting rooms, maintaining office inventory, and providing exceptional customer service to internal and external clients. The ideal candidate must be able to multitask in a high-demand environment while remaining professional and courteous to all clients. The office space is fully furnished with the latest technology and telecommunications equipment. In addition, their virtual offices offer tenants with flexible plans that provide them with a professional presence and courteous support staff to help them with clerical tasks. What we are looking for

  • Greet and welcome visitors with a warm and professional demeanor
  • Answer phone calls, take messages, and direct calls to the appropriate person
  • Provide information about our services, products, and office procedures
  • Schedule appointments and maintain the appointment calendar
  • Assist with administrative tasks such as filing, data entry, and document preparation
  • Coordinate projects and assist with project coordination tasks as needed
  • Manage office supplies inventory and place orders when necessary
  • Assist with order entry and processing as required
  • Provide personal assistant support to executives as requested
  • Perform general clerical duties including photocopying, faxing, and mailing documents
  • Maintain a clean and organized reception area
Requirements:
  • High school diploma or equivalent
  • Proven experience in an administrative or customer service role
  • Strong computer skills, including proficiency in Microsoft Office Suite
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Attention to detail and accuracy in all work performed
  • Ability to handle multiple phone lines and manage high call volumes
  • Professional appearance and demeanor at all times
  • Experience in an office or dental office setting is a plus
  • Event planning experience is a plus
