Her name was Inez. Inez had BIG hair and a slight Southern accent. She charmed everyone calling or visiting the law firm she worked at, and they loved her for it. When that firm did a marketing study to find out what its clients liked best about the firm, the clear response was INEZ! In short, we are looking for our own INEZ! Big hair and a slight Southern accent not required. But the ability to charm those calling or visiting the office and the desire to become the heart and soul and the best part of the firm is essential! The ideal applicant will be a poised professional with exceptional communication and customer service skills. When clients, real estate agents, and third-parties call or walk into our office, they require 5-star service. You will play a critical role in creating memorable client/visitor experiences. In addition to answering phones and greeting visitors to the firm, you will also provide administrative and clerical support to the partners and staff. These tasks will include taking messages, collecting and distributing mail, opening and updating client files, and ordering office supplies. This is a fast-paced environment that requires a high degree of professionalism, organization, and detail orientation, coupled with the ability to multitask and prioritize. Responsibilities include but are not limited to: Answering a multi-line telephone system. Greeting clients and visitors. Open, sort, and distribute incoming correspondence, including mail and faxes. Type letters, memos, and other correspondence as required. Open client files. File and retrieve documents, records, and reports. Prepare responses to departmental correspondence containing routine inquiries. Perform general office duties such as ordering supplies and maintaining records management systems. Prepare agendas and make arrangements for meetings.
Position Requirements:
3+ years in an Administrative/Client facing role. Exceptional Customer Service skills. Strong verbal and written communication skills (grammar/proofreading). Strong Proficiency in MS Office Suite; highly proficient in Excel, Word, and Outlook. Strong organizational skills and the ability to manage multiple requests in a challenging, fast-paced, and deadline-driven environment. Able to anticipate needs and manage multiple competing priorities. Ability to maintain a high level of confidentiality and integrity. Positive team player with a commitment to quality.
