Job Summary:
The Front Desk Coordinator will be the first point of contact for our patients, ensuring a warm and welcoming experience upon arrival. This individual will provide support in front office operations, assist with administrative duties, and provide essential support to our clinical team. The ideal candidate will have strong communication and organizational skills, be patient-centered, and able to handle a variety of tasks in a fast-paced healthcare environment.
Key Responsibilities:
Greet and check in patients as they arrive, ensuring a friendly and professional atmosphere. Answer and direct phone calls, schedule patient appointments, and provide information about our services. Verify patient insurance information, update records, and maintain accurate patient files. Collect co-pays and process payments. Coordinate with clinical staff to ensure a smooth patient flow and timely appointment scheduling. Handle patient inquiries and resolve issues or concerns promptly and professionally. Maintain cleanliness and organization of the front office area. Assist with preparing and managing patient paperwork, including forms and consent documentation. Process referrals and ensure accurate communication between specialists and patients. Support the team with administrative tasks such as filing, faxing, and handling medical records. Comply with office policies, HIPAA regulations, and confidentiality standards.
Qualifications:
High school diploma or equivalent required; some college or certification in medical administration is a plus. Previous experience of at least 1 – 2 years in a front desk role in a medical or healthcare setting. Knowledge of medical terminology, particularly in pulmonology and critical care, is beneficial but not required. Proficiency in using electronic health records (EHR) and office software (e.g., Microsoft Office). Experience with E-Clinical Works is a plus. Strong organizational skills with the ability to manage multiple tasks at once. Excellent communication skills, both verbal and written. A positive attitude, strong interpersonal skills, and the ability to work well with patients, families, and staff. Ability to maintain a calm and professional demeanor in stressful situations.
