Essential job responsibilities are training and coordinating volunteers, overseeing Physician/patient schedules, implementing Clinic guidelines, assigning tasks and troubleshooting. Must demonstrate leadership, good communication skills, computer literacy, and the ability to solve problems quickly and efficiently. Front Office Coordinator Job Description Train, oversee & direct volunteers in front office responsibilities and decorum. Greet patients at front window Train volunteers in proper phone etiquette and general Clinic information Oversee reminder phone calls for upcoming appointments Oversee patient check-in Create & maintain physician/clinician schedules Maintain an accurate patient waiting list and schedule patients as appointments become available. Follow up and confirm patients with specialty care appointments and maintain patient wait list. Distribute lab & radiology exam requisitions when appropriate. Oversee the distribution and grade the CFC depression screening form Notify Behavioral Health and make patient referral appointments for counseling when appropriate. Oversee the renewal of Sovereign Immunity Annual Financial forms Assume additional responsibilities when needed Oversee 20+ volunteers per week and train new front office volunteers. Check patients in for appointments; change and cancel appointments as needed Work with community outreach organizations as needed. Distribute and post flyers. Inform staff of program opportunities (ex: flu shots, free dental day, free Dermatology Day, etc.) Daily Sovereign Immunity financial sheets – Ensure correct completion of all patient yearly financial forms. Confirm correct input of data entered by volunteers. Create/maintain Doctor and patient schedules Maintain patient wait lists Send out daily texts and document confirmations from the prior day Ensure HIPAA compliance by staff and volunteers Work with CEO to compile end of quarter and end of year reports Ensure SI forms are completed for outside referrals Distribute billing referral slips for CCIC and Urology Ensure daily donation counts Assist in additional Clinic areas, as needed Qualifications Strong communication and organizational skills Proficient in computer literacy and Microsoft Office Suite Experience with multi-line phone systems and customer service Familiarity with office management practices Ability to manage calendars and perform data entry efficiently Bilingual candidates are encouraged to apply Previous experience in clerical roles and front desk operations is preferred
