Job Description

Part Time Weekend Receptionist 3.8 3.8 out of 5 stars 700 John Ringling Boulevard, Sarasota, FL 34236 The Weekend Receptionist is responsible for managing and directing all communications and requests from residents and the general public at the Tower Front Desk and through the appropriate communications system. Work Schedule – Part time set schedule for 16 hours a week. Saturday 12a to 8a Sunday 12a to 8a or Saturday 4p-12a Sunday 4p-12a

DUTIES/RESPONSIBILITIES 1.

Greet everyone in a friendly, upbeat, and positive manner; smile, make eye contact. 2. Email the Transition Support Team of any security or resident welfare concerns. 3. Address all incoming telephone calls. 4. Monitor the fire alarm system. 5. Manage transportation requests and reservations to include Lyft as well as Plymouth Harbor transportation, i.e., medical appointments, private shopping, personal appointments, etc. 6. Provide list of transportation requests to the Lead Driver on a daily basis. 7. Enter billable resident charges into the Orbits billing system. 8. Maintain daily report to include kayak check and any unusual incidents to include notification of Administrator on call, Maintenance on call, and the Director. 9. Manage or serve as back-up in scheduling guest rooms, as requested. Notify Housekeeping and Accounting, as necessary. 10. Maintain resident ‘Away’ list. 11. Ensure that all persons entering Plymouth Harbor through the main lobby are identified. 12. Monitor the sign-in logs for visitors, outside vendors/contractors, and persons seeking employment. 13. Facilitate special delivery packages, i.e., Federal Express, UPS, drug stores, pharmacy, flowers, cleaners, and general deliveries. 14. Respond to all inquiries from residents and the general public, via telephone and in person. 15. Manage Tower Front Desk computer operations, e-mails, in-house notices, etc. 16. Maintain and update records and reports as required by Administration. 17. Sign in guests staying in resident apartments; maintain an annual log. 18. Coordinate work order requests and forward to the appropriate department. 19. Communicate necessary information and updates to the Tower Front Desk Receptionist reporting to work for the next scheduled shift. 20. Manage the in-house mailboxes; distribute resident and departmental mail. Maintain a log of signed-for registered mail and packages, including pharmacy deliveries. 21. Monitor CCTV cameras for any unusual activity and direct Security to investigate, as needed. 22. Monitor lobby, elevator, and front parking activity. Notify the Director of safety concerns. 23. Attend and participate in workshops, seminars, and mandatory in-services as approved or required. 24. Maintain work area, equipment and supplies in a clean, sanitary, and organized manner. Ensure that work areas are neat and confidential materials are properly stored before leaving area on breaks, end of workday, etc. 25. Work safely, complying at all times with Plymouth Harbor safety standards. 26. Discharge properly such other responsibilities and duties as the Director or Vice President of Facilities may direct.

SUPERVISORY RESPONSIBILITY

This position has no supervisory responsibilities.

QUALIFICATIONS
Education:

High school graduate or equivalent.

Experience:

Minimum one year as a receptionist or administrative assistant in a busy environment.

General:

Must have excellent organizational skills. Must be a detail-oriented person and able to perform duties with great accuracy on a daily basis. Must have excellent personal skills, demonstrating the ability to conduct oneself in a non-controversial style; a style that inspires the respect of others and promotes a sense of trust in the individual’s competence. Must have good communication skills, speaking, writing, and listening. Must be fluent in English. Must have excellent computer skills.
