Role:

As a Front Desk Receptionist, you will be the first point of contact for visitors and staff, playing a vital role in creating a welcoming and organized environment. This role is ideal for individuals who enjoy interacting with people, are detail-oriented, and have a passion for supporting a mission-driven organization.

Key Responsibilities:
Front Desk Management:

1. Greeting visitors with a friendly and professional demeanor. 2. Maintain a clean, organized, and welcoming front desk area. 3. Ensure visitor sign-in and sign-out is accurately recorded in compliance with safety and security policies. 4. Direct visitors to the appropriate staff or resources based on their needs.

Visitor Screening:

1. Screen and register visitors according to security protocols, ensuring that all necessary information is logged, and ID checks are completed where needed. 2. Provide visitors with information regarding the organization’s services, policies, and any relevant visitor guidelines. 3. Offer assistance with directions, office layout, or other basic inquiries to ensure a positive visitor experience.

Transportation Assistance:

1. Assist with coordinating transportation logistics for participants, including scheduling pick-ups and drop-offs as needed. 2. Ensure timely and efficient transportation arrangements, following up to confirm all details are correct. 3. Keep transportation records up-to-date and ensure they align with staff needs.

Phone Communication:

1. Answer incoming calls professionally, providing information, assistance, or redirecting calls to the appropriate departments. 2. Take clear and concise messages when necessary and ensure they are relayed accurately to the correct parties. 3. Maintain confidentiality of information and follow any internal communication protocols.

Collaboration:

1. Work closely with EmployAbility staff to address visitor concerns or urgent requests. 2. Communicate promptly with team members about any visitor or transportation issues that arise. 3. Ensure seamless information flow by sharing updates with relevant departments as needed.

COMPETENCIES 1.

Understands and adheres to the organization’s policies, security protocols, and confidentiality guidelines (including HIPAA). 2. Comfortable using office equipment (phones, computers) and software (e.g., visitor registration, phone communication, record-keeping). 3. Provides a welcoming and professional atmosphere for visitors, addressing inquiries effectively; strong verbal and written communication skills when interacting with staff, visitors, and participants. 4. Able to manage and maintain accurate records (visitor logs, transportation schedules, messages) and complete tasks without error. 5. Manages multiple tasks simultaneously (e.g., answering phones, greeting visitors, coordinating transportation) while maintaining quality and productivity. 6. Identifies challenges and addresses them promptly, either independently or with support. Able to adjust to shifting priorities, handle unexpected situations, and remain calm under pressure. 7. Works effectively with staff and other volunteers to coordinate efforts and achieve organizational goals. 8. Demonstrates empathy, professionalism, and a positive attitude when interacting with people from diverse backgrounds. 9. Proactively manages tasks without constant supervision, anticipating needs and taking independent action.

MINIMUM QUALIFICATIONS 1.

High school diploma or equivalent. 2. Basic proficiency in using computers and office software (e.g., Microsoft Office Suite, email, and phone systems). 3. Strong verbal and written communication skills; ability to interact with diverse groups of people in a professional, friendly, and approachable manner. 4. Ability to manage multiple tasks simultaneously and maintain a well-organized front desk area. 5. Must be punctual and reliable, able to meet deadlines, and fulfill volunteer commitments consistently. 6. Must have valid driver’s license and current insurance.

PREFERRED QUALIFICATIONS 1.

Previous experience in customer service, front desk, or administrative role is preferred, but not required.

JOB REQUIREMENTS 1.
Working Conditions:

Must be able to work in an office setting with frequent interaction with visitors, staff, and participants. 2.

Physical Requirements:

Ability to sit or stand for extended periods of time during shift hours. Ability to occasionally lift or move light office equipment, materials, or supplies (up to 15 lbs). 3. Comfortable with using office technology, including computers, telephones, and visitor management systems.

SALARY/BENEFITS

Salary is commensurate with education, qualifications, and work experience. Full time benefits include paid holidays, vacation and sick leave, and a comprehensive benefits package.
