Branch Receptionist Pre-Requisite:
Must have a pleasant personality and ability to work well with others. Level of education must be high school diploma or higher. Must possess good communication, telephone and typing/computer skills (including Microsoft Word and Excel). Physical capabilities require sitting at a desk approximately 7 hours per day, lifting up to 10lbs. occasionally, and bending or squatting approximately 1 hour per day. Must be substantially flexible regarding miscellaneous duties assigned by supervisor. A valid driver’s license with a reasonable driving record must be maintained.
Primary Job Duties:
The co-worker in this position will be a “Jack of All Trades” for the branch. Responsible for answering the switchboard as well as be responsible for the maintenance and repairs of telephone equipment at the branch level (working with the IT department). Responsible for the collection and distribution of incoming and outgoing mail. Responsible for all typing for the branch (i.e. quotations, purchase orders, invoices, etc.) Responsible for all filing. Responsible for the itineraries of all sales department personnel and others as needed. Work with Payroll Department to maintain current records. Responsible for coordinating with the Purchasing Department to maintain adequate supplies for the office, salesmen, etc. Responsible for running errands, delivering quotations to customers, etc. as requested by supervisor. Assist A/P in setting up some accounts. Assist A/R in setting up some accounts. Assist Sales Department in setting up/receiving new inventory. Assist Rental Managers in typing/creating rental contracts when necessary. Responsible for any miscellaneous duties requested by supervisor. Target new potential customer for parts, service and body shop. Initiate surveys, share results with department managers to improve customer happiness. Maintain company vehicle as required and keep vehicle clean at all times. Assist in maintaining the parts department inventory. Deliver parts to customer in accordance with purchases.
