Position Overview:

We are seeking a professional and customer-focused individual to serve as the first point of contact for our dealership. This position is responsible for warmly welcoming showroom guests, answering and routing incoming phone calls, and providing general information in a courteous and efficient manner. The ideal candidate will play a key role in delivering an exceptional customer experience while supporting the day-to-day operations of the showroom.

Key Responsibilities:

Customer Reception:

Greet showroom visitors with a warm and professional demeanor. Determine the purpose of their visit and guide them to the appropriate department or individual. Notify staff members of a customer’s arrival and, when appropriate, make formal introductions.

Phone Call Management:

Answer and direct incoming phone calls promptly and courteously. Provide basic information to callers or take detailed, accurate messages as needed.

Professional Communication:

Communicate with all callers and visitors in a friendly, professional, and efficient manner. Maintain a calm and positive tone in all interactions.

Customer Information Collection:

Gather basic demographic and contact information using tools such as ups cards, dealership software, or log sheets. Accurately enter customer data into the prospect tracking system.

Data Entry & Reporting:

Maintain and update customer records. Generate and distribute weekly prospect reports to management.

Timely Message Relay:

Ensure all messages are delivered promptly and accurately to the appropriate parties.

Administrative Support:

Type and format documents such as memos, reports, and correspondence. Provide clerical support to other departments as requested.

Service Department Assistance:

Assist service customers during peak hours when possible, especially during morning and evening rush periods.

Professional Appearance & Conduct:

Present a neat, polished, and professional image at all times. Uphold the dealership’s standards of customer service and professionalism.

Note:

This role is essential to maintaining the smooth operation of the showroom and ensuring a positive experience for all visitors. Additional responsibilities may be assigned as needed to support dealership operations.
