accrual equal to 144hrs annually Friday half-days Life/ADD Tax Deferred Annuity with Corporate match up to 5% healthcare negotiable Job description The Bilingual Front Office Specialist is responsible for front office duties which can include greeting patients at the front desk in a pleasant, friendly, helpful manner and checking out patients when the office visit is complete. This position is responsible for efficient patient flow by ensuring that patient information is presented to the medical assistants in an accurate and timely fashion. When responsibilities include checking out patients, the Front Office Specialist ensures patient visit is complete and follow up appointments are made as needed. Bilingual English/Spanish required. Duties and Responsibilities The Front Office Specialist meets and greets all patients with a smile and friendly, helpful manner; announces, directs and/or escorts to the appropriate area. If applicable, Front Office Specialist answers, screens, and directs calls. Monitors sign-in sheet, obtains initial patient information and enters data into the EMR system. The Specialist verifies and copies all insurance cards and or/verifies insurance via carrier database. Enters any changes in patient data into the EMR system. Collects appropriate copayments at the front desk. Scans and uploads all patient documents into the patient’s chart on the EMR. Responsible for providing necessary documentation to patients and explaining the Sliding Fee Scale process as needed. Notifies medical assistant via EMR software as each patient completes the check-in procedure and is ready to be seen. The Front Office Specialist monitors patients in the waiting room for signs of illness or other problems. Maintains Patient Registration Forms and other forms as needed and straightens front desk area as patient flow allows. Advises Office Manager of patients with very high private pay balances before patient is seen by Provider. When serving in the check-out role, the Front Office Specialist ensures all information on file is current and collects fee if not paid upon arrival. Assists patient at check-out, gives work/school excuses, helps patient complete records request as needed. Schedules any follow up appointments per the Provider’s instruction. Answers any billing questions or refers patient to the Billing Department for more in-depth resolution. The Front Office Specialist posts all mail payments, prepares bank deposits, and balances to deposit record. The Specialist balances at the end of each day and this includes all charges, payments and adjustments, and ensures anyone who has a batch posted has run a posting report and balanced. Also as part of the check-out process, the Specialist creates and scrubs all claims for self-pay patients. The Front Office Specialist demonstrates a high level of professionalism in dealing with confidential and sensitive issues and displays excellent customer service at all times. Willingly travels to other departments or sites to perform Front Office duties in the absence of a coworker. Provides training for new personnel, to include EMR instruction, policies and procedures, workflow, etc. Follows Corporate, Ethical, and HIPAA policies and procedures to ensure the confidentiality of all patient information. Effectively practices teamwork, respect for coworkers, good attendance and punctuality. Other duties as assigned. Qualifications Education / Experience Associates degree (A.A.), two to four years related experience, or equivalent combination of education and experience.
