Job Summary:

We are looking for a friendly, professional, and highly organized Office Receptionist to join our team. As the first point of contact for visitors and callers, the Office Receptionist will play a crucial role in creating a welcoming environment and ensuring smooth day-to-day operations of the office. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to multitask in a fast-paced environment.

Key Responsibilities:
Front Desk Management:

Greet and welcome visitors with a warm and professional demeanor. Answer, screen, and direct incoming calls to the appropriate departments. Manage visitor sign-in and ensure all guests receive proper visitor badges.

Administrative Support:

Maintain the reception area, keeping it tidy and presentable. Receive and distribute incoming mail, packages, and deliveries. Assist with scheduling appointments and meetings as needed. Provide general administrative support to various departments, including data entry, filing, and document preparation.

Coordination and Communication:

Act as a liaison between visitors and staff, ensuring effective communication. Coordinate with building management for office maintenance requests. Manage conference room bookings and ensure meeting spaces are prepared for use.

Office Supplies Management:

Monitor and manage inventory of office supplies; order supplies as needed. Ensure the office is stocked with necessary materials such as paper, pens, and other essentials. Support for

Events and Meetings:

Assist in the coordination of office events, meetings, and conferences. Arrange catering and set up refreshments for meetings as required. Prepare meeting rooms, including setting up audio-visual equipment if necessary.

Customer Service:

Address general inquiries from the public and clients in a helpful and informative manner. Provide information and assistance to staff and visitors regarding office policies and procedures.

Qualifications:
Education:

High school diploma or equivalent; additional certification in Office Management is a plus.

Experience:

Proven work experience as a receptionist, front office representative, or similar role.

Skills:

Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with office equipment such as printers and fax machines. Professional appearance and attitude.

Attributes:

A friendly and approachable personality. Ability to work independently and as part of a team. High level of attention to detail and accuracy. Ability to handle sensitive and confidential information with discretion.

Physical Requirements:

Ability to sit for extended periods. Ability to lift up to 25 pounds occasionally. Ability to manage multiple tasks in a fast-paced environment.

Job Type:
Full-time Pay:

$17.50 – $22.50 per hour Expected hours: No more than 45 per week

Schedule:

10 hour shift 8 hour shift
