Administrative Receptionist Summary:

An Administrative Receptionist serves as the first point of contact for visitors and callers, providing administrative support and ensuring the smooth operation of the front desk. This role requires excellent communication skills, professionalism, and the ability to handle various administrative tasks efficiently.

Responsibilities:
Reception Duties:

Greet visitors, clients, and employees in a professional and friendly manner. Answer incoming calls, transfer calls to appropriate personnel, or take messages as needed. Manage the reception area, including maintaining a tidy and welcoming environment.

Administrative Support:

Assist with general clerical tasks such as filing, photocopying, scanning, and faxing documents. Schedule appointments, meetings, and conference rooms for staff and clients. Coordinate travel arrangements and accommodations for employees when necessary. Handle incoming and outgoing mail and packages, including sorting, distributing, and processing shipments.

Communication:

Serve as a liaison between clients, visitors, and internal staff, relaying messages and inquiries promptly and accurately. Respond to inquiries via phone, email, or in-person, providing information or directing individuals to the appropriate resource. Maintain contact lists, directories, and other relevant information for easy access and reference.

Recordkeeping:

Maintain electronic and paper filing systems, ensuring documents are organized and easily retrievable. Assist with data entry and record updates in databases or spreadsheets as required. Compile reports, presentations, and other documents as requested by management.

Office Management:

Monitor and order office supplies, ensuring adequate stock levels for efficient operations. Coordinate maintenance and repairs for office equipment and facilities. Assist with the onboarding process for new employees, including preparing orientation materials and coordinating with HR.

Confidentiality:

Handle sensitive information with discretion and maintain confidentiality in all interactions and tasks.

Miscellaneous:

Assist with special projects or tasks as assigned by supervisors or management. Stay informed about company policies, procedures, and updates to provide accurate information to visitors and callers.

Requirements:

High school diploma or equivalent; additional education or certification in office administration or related field is a plus. Proven experience as a receptionist, administrative assistant, or similar role. Excellent communication skills, both verbal and written. Proficiency in MS Office (Word, Excel, Outlook) and other relevant software applications. Strong organizational skills with the ability to prioritize tasks and manage time effectively. Professional demeanor with a customer service-oriented attitude. Ability to multitask and work efficiently in a fast-paced environment. Attention to detail and accuracy in completing tasks.
