Summary We are seeking a Receptionist/Administrative Assistant to join our dedicated team at Shaben & Associates, Inc. This position is crucial for maintaining our high standards of customer service and ensuring smooth office operations. Located in Suwanee, GA, this role offers an opportunity to make a significant impact on our clients’ experiences. Responsibilities Greet visitors by appointment and manage incoming calls with professionalism and courtesy. Data entry into property management/accounting software (Vantaca). Performing special projects and duties as assigned. Researching homeowner account issues. Managing access control card systems such as Door King and others. Administering contracts for clubhouse reservations. Entering vendors and processing accounts payables and receivables. Assisting with research of discrepancies when needed. Ensuring all financial records are maintained in compliance with accepted policies and procedures. Process closing packages and new homeowner packages accordingly. Provide exceptional customer service to clients and address inquiries promptly. Manage office supplies inventory and place orders as necessary. Filing and Preparing documents and correspondence as needed, ensuring accuracy and attention to detail. Requirements Proven experience as a receptionist or administrative assistant in a professional setting. Prefer at least 2 years of experience. Strong organizational skills with the ability to multitask and prioritize work effectively. Strong attention to detail, good judgment and decision making, and time management skills. Familiarity and understanding of accounting principles and practices. Excellent written and verbal communication skills. Must be able to communicate effectively with others in English both orally and in writing. Customer Service driven and a team player. Critical thinking & problem-solving skills Proficient in Microsoft Word, Excel, and Outlook. Ability to research problems, prepare written recommendations and compose correspondence.
