Position Overview :
As a Receptionist/Administrative Assistant at The Law Offices of Tanya D. Jeffords & Associates, you will be the first point of contact for our clients, visitors, and callers. You will play a crucial role in creating a welcoming and professional atmosphere while providing administrative support to ensure the smooth operation of our office. This position offers the opportunity to work closely with our legal team, learn about the legal field, and contribute to our firm’s commitment to client satisfaction and community engagement.
Responsibilities :
Greet clients and visitors with warmth and professionalism, ensuring they feel welcomed and valued. Answer and direct incoming calls promptly and courteously, taking messages as necessary. Manage the firm’s front desk area, including maintaining cleanliness and organization. Schedule consultations for attorneys effectively. Assist with administrative tasks such as data entry, filing, photocopying, and scanning documents. Handle incoming and outgoing mail, packages, and deliveries. Assist with organizing firm events, community outreach initiatives, and charitable activities. Collaborate with team members to support the efficient operation of the office and contribute to a positive work environment. Demonstrate a proactive and helpful attitude, anticipating needs and finding solutions to challenges as they arise.
Qualifications :
High school diploma or equivalent; some college coursework preferred. Previous experience in a receptionist, administrative assistant, or customer service role is desirable but not required. Excellent interpersonal and communication skills, both verbal and written. Strong organizational skills with the ability to multitask and prioritize tasks effectively. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills. Positive attitude, professionalism, and a commitment to providing exceptional client service. Ability to work well independently as well as part of a collaborative team. Genuine interest in learning about the legal field and willingness to grow within the role.
