The ideal candidate will be the first point of contact for visitors, subcontractors, and vendors, while also providing essential administrative support to project managers and office staff. This person must be a proactive, smart, well organized person who is eager to grow with us.
SUMMARY:
The Receptionist is responsible for providing comprehensive, professional and administrative support to the office. A high degree of independent judgment, self-motivation, and effective communication skills are required.
RESPONSIBILITIES
Primarily reports to the Administrative Coordinator but supports all members of the management team: Responsible for receiving ALL incoming phone calls and/or returning any voicemails promptly. Warmly greet clients and/or visitors; as needed. A pleasing personality with strong communication skills is highly valued! Help organize and maintain the office. Perform general office clerk duties. Calendar management – schedule and coordinate estimates, meeting dates/times, venues, and attendance; provide administrative support and follow-up on matters arising from meetings; provide comprehensive meeting details. Assist with correspondence and other administrative functions as necessary, including file management and/or copying/printing. Assist with creating and maintaining office systems and procedures to streamline workflow and/or improve current systems for greater efficiency in all departments. Assist in preparing letters, reports, and materials needed for meetings/jobs, such as forms, agendas, handouts, binders, etc. Assists all other team members as needed.
REQUIREMENTS
Ability to develop consistent positive Customer Service experiences. Good Attitude. Experience in an office setting. Ability to handle a fast-paced, construction-oriented environment. Can communicate simply and effectively, both in written and spoken form. Good phone etiquette and discretion, when necessary. Strong organizational skills. Detail-oriented. Ability to work well under limited supervision. Have a valid driver’s license.
