Full Job Description Summary:
The Administrative Assistant ensures smooth office operations by performing essential operational and organizational tasks that allow the organization to operate effectively. The successful candidate should have high level organizational, administrative, and clerical skills, as well as excellent communication both in writing and verbally, digital knowledge and skills, strong interpersonal skills, and have a basic knowledge of youth services and/or programs.
Key Responsibilities:
Greet clients and visitors and coordinate front desk activities
- Order and maintain office equipment as needed
- Create and maintain organization filing systems
- Schedule in-office meetings between for program members. Schedule and arrange virtual meetings for in-office and external group meetings.
- Manage calendars of key staff members, coordinate and schedule in-person and virtual meetings
- Maintain digital and physical records, intake files, and needed office supplies
- Assist in preparing reports, memos, and grant applications
- Respond to questions and requests for information about the program via phone contact and/or via email.
- Support program event logistics
- Process invoices, track and maintain receipts, input expenses and other basic bookkeeping tasks
- Arrange travel plans for staff members for offsite events like conferences, trainings, etc.
- Knowledge of human resources procedures and policies including HR onboarding activities, payroll, confidentiality and protection of employee information, etc.
- Other responsibilities as assigned

Program Director Required Skills:
- Strong communication and interpersonal skills
- Proficiency in computer software programs including Office Suite, accounting programs, and database programs.
- Proficiency in data entry skills and knowledge
- Ability to use scheduling software and workflow programs such as Google Calendar, Outlook, Trello and others
- Strong organizational and customer service skills
Minimum Qualifications:
- High school diploma
- Any type of certification that supports administrative management
Preferred Qualifications:
Associate degree or equivalent experience in administrative work Proficiency with Microsoft Office and data entry systems Strong organizational and customer service skills
