Job Description
Secretary/Receptionist, Human Services Purpose of Position:
Performsupport services for clinical staff and medical staff in their effortsto provide daily individual and group patient care. Guide clientsthrough the system from point of intake through their scheduledappointments/groups. Act as an information resource to clients, medicalstaff, and clinical staff as the need arises.
Description:
Providesecretarial/receptionist coverage in an efficient, timely, andprofessional manner. Multitask in a busy office environment. Adhere toall standards of confidentiality in regards to patient rights.
Schedulepatient appointments in person or by telephone. Prepare reports andcorrespondence; produce schedules and charges from automatedsystems.
Locate, pull and prepare charts for the following day’sschedules. Maintain clinician daily appointment schedule. Assist inlocation of missing charts and compile new charts. Open and distributemail. Maintain patient records including the retrieval of patient chartsto file correspondence, reports, test results, etc. Pull charts fortelephone messages as needed. Greet patients, verify insurance andcollect co-payments. Follow policy and procedure regarding reporting anynon-payment and/or insurance changes. Obtain all required consents.
Secure copies of valid insurance cards. Answer telephone in a timelymanner, direct calls to appropriate persons, and take accurate messages.
Schedule appointments as requested with other providers, agencies, etc.
Prepare associated forms such as requisitions or referral forms withreview of any prep required as necessary. Copy and/or provide medicalrecords information to outside providers under established guidelines asneeded. Distribute charts to clinician, nurse, or physician for releaseas needed. Ensure accurate maintenance of administrative records andwork/communicate cooperatively with co-workers, patients, visitors, andpersonnel both inside and outside the practice. Demonstrate the abilityto adjust to unexpected changes to assure that allresponsibilities/duties are met during absences or increased patientvolumes. Qualifications:
Two years secretarial experience preferred, preferablyin a clinical/medical office setting and/or Associates level education.
Ability to read, write and communicate in English. Must be computerproficient in Microsoft Office and/or other applicable softwareprograms. Experience in Medical Office Software preferred.
PHYSICALDEMANDS
Physical and mental health appropriate to meet the demands ofthis position. Frequent standing, walking, use of stairs, sitting,stooping, pulling, lifting overhead, reaching depending on jobassignment. Lifts supplies and equipment (15-25 lbs.) Considerabletelephone communications and documentation.
WORKING CONDITIONS
May beexposed to electrical/mechanical equipment. May interact with patientswho have a range of behavioral, emotional, or physical challenges.
Ability to work in a fast-paced environment and manage multiple tasks atany time.
