ON AGING OFFICE ASSISTANT/RECEPTIONIST
Definition:

Acts as receptionist, greeting the public, relaying incoming and interoffice calls and performs general clerical work; all other related work as required.

Supervision:

Works under general direction of the Council on Aging Director.

Essential Duties and Responsibilities:

Fields and directs a moderately high volume of incoming calls on a multi-line phone. Greets all visitors courteously, determines their needs, and directs them to the proper person/office. Schedules appointments for tax preparation, SHINE, Podiatrist and other services. Makes copies for the public as needed. Maintains lists for parties and activities. Maintains medical shed loans and inventory of equipment. Keeps reception area clean and orderly. Assists in acquainting new participants and their families with the Senior Center’s services and activities. Assists in the moving and setting up of tables/chairs for programs and activities, in the absence of Custodian. Reviews daily and monthly schedule with the Program Coordinator. Organizes and maintains resource files, brochure racks & bulletin boards along with Program Coordinator. Performs a variety of special projects as assigned by staff.

Education and Experience:

High School diploma and one year of clerical experience; or any equivalent combination of education and experience CPR/First Aid certification or ability to obtain one

Knowledge, Ability, and Skill:

Possess genuine compassion, respect, and understanding of older adults, people with disabilities and people of various socio-economic status. Working knowledge of elder service programs and community resources. Basic knowledge of departmental operations. Possess a strong aptitude for and proficiency in current computer technologies, with enthusiasm to quickly learn and master new applications/software. Tasks include simple data analysis using Excel, file management, managing Google calendars, and conducting online research for projects. Display ability to serve as a positive and knowledgeable representative of the Council on Aging with strong people skills. Ability to work well under pressure in a position that involves continuous contact with Council on Aging participants and the general public. Must be detail-oriented and manage multiple competing priorities and projects in an environment with frequent interruptions. Strong customer service skills.

Job Environment:

Work is performed in typical office condition with frequent contact with the general public, other town departments, vendors and representatives of outside organizations. Physical Requirements Light physical effort required in performing duties under varied conditions; occasional moderate effort required in moving tables and chairs to set up for activities. Certain tasks require the ability to operate a keyboard and view computer screens. Correctable hearing required. Normal vision is required. Employees are required to sit and use hands more than 2/3rd of the time, talk, listen, reach, stand and walk.
