DUTIES AND RESPONSIBILITIES
Answer phone, screen, and direct calls. Answer and address incoming phone calls in a timely and polite manner. Clearly determine the purpose of the call. Deal with queries and provide information to callers about programs offered, suggesting appropriate programs for that individual’s needs. Forward calls to the appropriate person. Take and relay messages accurately and completely. Greet visitors/parents entering the facility. Determine visitor/parent needs in a professional manner. Maintain visitor/parent register. Direct visitors/parents to the correct person or destination. Ensure backup when absent from the reception desk. Monitor security. Monitor people coming and going through the reception doors. Be aware of and report suspicious activity. Safely redirect children unattended in the receptionist area to the parent/teacher or classroom. Keep track of staff movements in and out of the facility. Provide general administrative and clerical support. Receive, sort, and distribute incoming mail and deliveries. Photocopy and collate documents. Fax documents. Prepare a variety of documents, including general correspondence and memos. Sort and file documents and records. Accurately update databases. Organize mailings. Monitor, control, and order office supplies. Schedule and follow up on appointments. Organize meetings. Book meeting rooms. Inform participants. Set up meeting room with necessary stationary and equipment. Maintain the reception area. Maintain an organized front desk work environment. Keep the reception area clean and neat. Maintain office equipment and report any malfunctions. Maintain and organize any reading material. Oversee facility operations in the absence of higher-level personnel. Maintain positive interaction in stressful situations involving program participants and Community Hub visitors of all ages. Maintain a cooperative working relationship with other staff working at the facility. Exercise initiative and independent thinking in promoting facility usage and activities and suggesting appropriate services. Maintain confidentiality and show discretion. Perform other duties as assigned by the supervisor.
QUALIFICATIONS / EXPERIENCE
Education/Minimum Qualifications:
Education:
High school diploma or GED required.
Experience:
2-3 years of experience working with the public.
Skills:
Knowledge and understanding of general office procedures and administrative tasks.
Substitution:
Any combination of education and experience that provides the required knowledge, skills, and abilities may be considered as qualifying. Licenses and certifications Current driver’s license, good driving record, and normal risk insurability. Satisfactory criminal offender record information (CORI), Department of Children and Families (DCF), and fingerprint-based state and national criminal background check results. Obtain basic first aid and CPR certification. Knowledge of:

Review documents related to facility and program operations. Observe, identify, and problem solve office procedures. Understand, interpret, and explain facility and program policies and procedures to the public and staff. Maintain composure and professionalism in dealing with various distractions, interruptions, and at times, stressful interactions with the public. Effectively and professionally communicate and interact with visitors of all ages and backgrounds in a tactful and courteous manner. Operate and use modern office equipment, including a computer and various software packages. Perform mathematical calculations. Perform routine clerical work, including maintenance of appropriate records and preparation of general reports. Use logical and creative thought processes to develop solutions according to written and/or oral instructions; exercise appropriate initiative in problem-solving. Verify and check files and data. Understand and carry out both oral and written directions. Type and enter data at a speed necessary for successful job performance. Communicate clearly and concisely, both orally and in writing. Establish and maintain effective working relationships with those contacted in the course of work. Environment:
Work is performed primarily in a standard office environment; travel to different locations; incumbents may be exposed to inclement weather conditions and may have some contact with chemical agents used in facility maintenance; work and/or walk on various types of surfaces, including slippery or uneven surfaces.
Physical:
Primary functions require sufficient physical ability and mobility to work in an office and human service facility setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (100 pounds or less); to operate office equipment requiring repetitive hand movement and fine coordination, including use of a computer keyboard; to travel to other locations using various modes of private and commercial transportation; and to verbally communicate to exchange information.
