Essential Job Functions :
The Front Desk/Receptionist must be able to perform all the following duties and responsibilities with or without reasonable accommodation. Provide customer service such as greet customers, answer questions, process incoming patients, and handle payments Answer phone calls, which may involve answering questions and screening and scheduling appointments Handle incoming and outgoing mail and email Maintain and Update patient charts. Process credit card payments and prepare bank deposits Retrieve and process prescriptions Keep the waiting room and entryway neat and clean; perform regular cleaning of the environment based on necessity Communicate with and educate clients, relay test results to doctor and clients, maintain and update client/patient records. Coordinate the flow of pets and owners in the lobby; placates owners distressed by long waits, scheduling glitches, and other problems. Identify potential emergencies in person, and over the phone, and schedule those appointments appropriately. Perform cashiering duties; process payments, refunds, collections, returns and credits as needed. Responds to inquiries about the range of services the practice provides and the species it treats; refer to appropriate staff members as needed. Input data to practice management software to check pets in; make simple postings to accounts. Receive and distribute incoming mail; and process outgoing mail. Coordinate and schedule appointments; provide clients with appointment reminders and any special instructions; call clients whose pets have overdue treatments. Maintain client records. Respond to client emails; type and edit a variety of correspondence, and process faxes. Able to learn basic veterinary medicine terminology. Become familiar with retail products, medications, vaccinations, routine testing, and heartworm and flea preventatives and be able to confidently discuss with clients. Use Windows based computer systems, word processing, email, web search and other skills needed to effectively use software. Assist in end of the day office cleaning
Supervisory Responsibility :
This position has no immediate supervisory duties.
Work Environment:
Position requires bending, kneeling, lifting (up to 40 pounds, as necessary) and standing for long periods of time. Tasks may involve extended periods of time at a keyboard or workstation and/or extended periods of time standing and/or walking.
Skills & Qualifications/Requirements:
Knowledge of clerical procedures Must be flexible with scheduling and able to work weekends. Experience with scheduling software preferred Excellent communication skills and the ability to work effectively and efficiently in a fast paced environment. Must be able to handle the physical and emotional aspect of work in a veterinary clinic environment, including the use of euthanasia. Models a professional and courteous manner with staff and clients. Must have active listening, critical thinking, complex problem solving, time management, judgment and decision making skills.
