Job Description
Description We are looking for an organized and personable Receptionist to join our team on a contract basis in Boston, Massachusetts. In this role, you will serve as the first point of contact for visitors and callers, ensuring smooth communication and efficient administrative support. This is an excellent opportunity for a detail-oriented individual with strong customer service skills.
Responsibilities:
- Manage a multi-line phone system, directing calls to the appropriate departments and handling inquiries professionally.
- Greet and assist visitors, ensuring they feel welcomed and directed to the correct locations.
- Perform accurate data entry tasks, maintaining records and updating databases as needed.
- Compose and respond to email correspondence in a timely and organized manner.
- Organize and maintain files, ensuring easy access and proper documentation.
- Schedule appointments and coordinate meeting arrangements for staff and visitors.
- Utilize Microsoft Word, Excel, and Outlook to create documents, maintain spreadsheets, and manage email communications.
- Collaborate with team members to support daily operations and resolve any administrative challenges.
- Demonstrate excellent interpersonal skills when interacting with clients, colleagues, and vendors. Requirements
- At least 1 year of experience in a receptionist or administrative role.
- Proficiency in handling multi-line phone systems and managing high call volumes.
- Strong customer service skills with the ability to communicate effectively and professionally.
- Experience with data entry and maintaining accurate records.
- Familiarity with Microsoft Word, Excel, and Outlook for office tasks.
- Ability to compose and manage email correspondence efficiently.
- Exceptional organizational skills to manage files and schedule appointments.
- Strong interpersonal abilities to build rapport and collaborate effectively.
