$32.9K – $38.7K a year 13 hours ago Qualifications Customer service Microsoft Office High school diploma or GED Organizational skills Leadership Communication skills Editing Entry level Time management Full Job Description The Receptionist role will enhance staff effectiveness by providing information management support and serving as a liaison for the team to external parties. Responsibilities will include answering phones, managing calendars, making travel arrangements, scheduling meetings, and events, preparing reports and financial data, and customer relations. The Receptionist will report directly to the Director of Patient Experience. The Receptionist will have access to sensitive company data and/or Protected Health Information (PHI) and Electronic Protected Health Information (EPHI). Job Responsibilities and Essential Functions Welcoming guests by greeting them, in person or on the telephone; answering or directing inquires. Ensuring a positive and professional first impression regardless of type of communication. Maintaining a tidy and organized reception and office space to include ensuring the conference room, hallways, and breakroom are maintained. Assisting with scheduling appointments and meetings. Coordinating travel arrangements and accommodations for staff, such as onsite visits and conferences that can include flights, hotel, rentals, etc. Collaborating with the leadership team on planning for various meetings, conventions, and events. This may require occasional pick up of food orders. Producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Managing incoming and outgoing mail and packages. Maintaining office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing, and expediting orders for supplies, verifying receipt of supplies. Ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Utilizing all information systems, including but not limited to: Microsoft Office applications, S-Fax and additional systems as needed. Ensuring operation of office equipment and working with vendors to resolve issues. Maintaining electronic and physical filing systems. Assisting with data entry and record-keeping tasks. Adhering to the policies, procedures, and regulations that govern our operations. Providing administrative support to executives and managers, as required. Assisting with special projects and initiatives as assigned. Required Qualifications High school diploma required. Possess exceptional organizational skills, time management, and effective communication skills, including verbal and written. Must possess strong customer service and leadership skills, including high skillsets in the following: self-awareness, organization, relationship-building, empowering others, presenting yourself as constant and consistent, and serving as role model for others within the team and organization. Proficiency with certain technology, such as Microsoft Office Suite or related software Soft Skills required for this position: Dependability, customer service, empathy, service excellence, active listening, multi-tasking, problem-solving, collaboration, teamwork, documentation skills, attention to detail, PC proficiency, organization, creating and maintaining a safe and effective environment.

Language Skills:

Ability to read, analyze, and technical journals, system application manuals, basic financial reports, and basic legal documents.

Mathematical skills:

Ability to solve simple math problems and analyze numbers as they relate to necessary job functions.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions.

Specific vision abilities required by this job include close vision and ability to adjust focus. Travel and Work Location This position is an in-office role. As such, the employee will work onsite during regular business hours to allow for the highest level of collaboration with their team and other departments.
