The Front Desk Receptionist is the first point of contact for our organization, responsible for creating a positive and welcoming impression for all visitors, members, and callers. This role is crucial for efficient office operations, managing communications, and providing administrative support. The ideal candidate will be highly organized, possess excellent communication and interpersonal skills, and always maintain a professional and courteous demeanor.
Key Responsibilities:
Greeting and Welcoming:
Greet all visitors and clients in a professional, friendly, and courteous manner. Direct them to the appropriate person or department, ensuring a smooth and efficient process.
Answering and Directing Calls:
Answer incoming telephone calls promptly and professionally. Screen and direct calls to the appropriate personnel, take accurate messages, and provide general information.
Managing Correspondence:
Sort and distribute incoming mail, packages, and deliveries. Prepare outgoing mail and shipments.
Scheduling and Appointments:
Schedule and confirm appointments, meetings, and reservations as needed, maintaining accurate calendars.
Administrative Support:
Provide general administrative and clerical support including, but not limited to, filing, photocopying, scanning, faxing, and data entry.
Maintaining Reception Area:
Ensure the reception area is tidy, organized, and presentable always.
Record Keeping:
Maintain accurate contact lists, and other relevant records.
Problem Solving:
Address and resolve visitor and caller inquiries or concerns, or escalate to the appropriate personnel when necessary.
Information Management:
Update and maintain various databases and information systems as required.
Ad Hoc Tasks:
Perform other duties as assigned to support the efficient operation of the office.
Qualifications:
Education:
High school diploma or equivalent required. Associate’s degree or vocational training in office administration is a plus.
Experience:
Proven experience as a front desk receptionist, administrative assistant, or in a similar customer service role, typically 1-2 years.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with multi-line phone systems and office equipment (copier, scanner, fax). Familiarity with scheduling software or CRM systems is a plus.
