SCHOOL RECEPTIONIST

Fayetteville Academy is seeking a School Receptionist who will serve as the first point of contact for our school community. The receptionist plays a vital role in creating a warm, efficient, professional, and welcoming front office environment. This role performs a variety of administrative and clerical tasks while supporting both the administrative team and the broader school community, ensuring smooth day-to-day operations, and providing exceptional service to visitors, families, students, and staff.

KEY AREAS OF RESPONSIBILITY

Greet and assist students, families, and visitors with warmth, discretion, and professionalism. Handle basic inquiries and provide accurate information in person, via phone, or email. Direct visitors to the appropriate person or department. Answer, screen, and route incoming calls; provide accurate information and handle inquiries in a courteous manner. Monitor and enforce visitor check-in and security protocols in alignment with school policies. Manage student sign-in/out processes and maintain daily attendance logs (including athletic team early dismissals) in FACTS student information system. Send daily attendance reports to division heads. Maintain an organized, clean, and professional front office, teacher workroom, and reception area. Support Head of School and admissions offices with front desk coordination. Receive, sort, and distribute daily mail and deliveries; notify recipient of package arrivals. Manage outgoing mail, including stamping and maintaining postage meter. Assist with administrative tasks such as filing, photocopying, and data entry. Maintain office supplies inventory and place orders when necessary. Communicate effectively with faculty, parents, and external partners while maintaining confidentiality. Issue NC Driving Eligibility Certificates with proof of completed drivers ed form. Assist in school events as required.

QUALIFICATIONS

High school diploma or equivalent; associate’s or bachelor’s degree preferred. Prior experience in a front desk, administrative, or customer-facing role, ideally in an educational or private school setting. Proficiency in common computer skills – especially in the Google tool suite. Able to learn and employ other required Academy software platforms (especially FACTS/RenWeb). Excellent organizational skills with the ability to multitask and prioritize in a busy environment. Strong interpersonal, written, and verbal communication skills. Handles confidential situations, materials, and information with discretion, respect, and sensitivity Warm, accessible, and approachable by all constituents while maintaining a friendly and professional tone at all times A polished, professional appearance and demeanor and commitment to high standards of service. WORK ENVIRONMENT

This position operates in a professional office environment within an independent school setting. May involve sitting for long periods and light lifting (e.g., boxes of supplies or mail). Workdays and hours aligned with the academic calendar. May require occasional evening or weekend hours for school functions and events.
