Description We are offering a permanent employment opportunity for a Front Desk Coordinator in Charlotte, North Carolina, United States. In this role, you will be a crucial part of our team, handling administrative tasks, ensuring the smooth running of our office, and serving as the first point of contact for our clients. Responsibilities
- Answering and directing calls on a multi-line phone system
- Scheduling appointments and meetings for the team
- Processing client intake paperwork and handling client onboarding
- Following up with clients regarding signed paperwork and invoices
- Generating invoices and maintaining organized files
- Meeting, greeting, and providing refreshments to clients as they arrive
- Providing top-notch customer service and concierge services
- Supporting the team by running KPI reports and analyzing previous week’s data
- Proficiently using Microsoft Office, Excel, and Outlook to manage emails and other tasks
- Maintaining a well-organized email system and managing correspondence. Requirements
- Proficiency in Administrative Assistance tasks, ensuring smooth office operations
- Experience with Answering Multi-Line Phone System, ensuring effective communication
- Capable of providing Concierge Services to cater to client needs
- Strong Customer Service skills to ensure client satisfaction
- Proficiency in Data Entry tasks, ensuring accuracy and efficiency
- Excellent Interpersonal Skills for maintaining positive work relationships
- Proficiency in Microsoft Excel for data management and analysis
- Familiarity with Microsoft Outlook for efficient email and calendar management
- Proficiency in Microsoft Word for creating and editing documents
- Experience in Organizing Files, ensuring easy access and retrieval of information
