DESK RECEPTIONIST

Metcon is a commercial general contractor that specializes in construction management, negotiated, design-build and select hard-bid projects. The Front Desk Receptionist serves as the first point of contact for our office. This role is essential in ensuring smooth day-to-day operations by managing phones, walk-ins, mail handling, and other administrative duties. The ideal candidate will be a professional multitasker with strong communication skills and attention to detail. Ensure project goals, objectives and initiatives are met in alignment with the mission, vision, and values of Metcon. Phone Management Answer and direct incoming phone calls promptly and professionally. Take messages and route them to the appropriate departments or individuals. Walk-In Visitors Greet and assist visitors, ensuring they feel welcomed and valued. Maintain the signin log for guests and ensure proper visitor protocols are followed. Mail and Package Handling Prepare outgoing mail and packages, ensuring accurate labeling and documentation. Receive and distribute incoming mail and packages to the correct recipients. Filing and Record-Keeping Organize and maintain filing systems, ensuring documents are easily accessible. Manage the check log, keeping it accurate and up to date. Kitchen and Snack Duties Keep the kitchen area tidy, including restocking snacks and beverages as needed. Ensure meeting rooms are stocked with necessary supplies for events or gatherings. Meeting and Event Support Coordinate and order lunches for meetings or events, ensuring dietary preferences are met. Supply Room Management Monitor inventory levels and reorder office supplies to maintain stock. Organize the supply room for easy access to materials.

Employee Relations Support Act as a first point of contact for basic HR inquiries. Direct employees to the appropriate HR team members for complex issues. Assist in distributing internal communications and HR announcements. Benefits & Payroll Coordination Assist employees with enrollment forms and benefitsrelated questions. Help collect and verify payroll documents and timekeeping records. Coordinate with payroll or benefits vendors on basic administrative tasks Compliance and Policy Support Ensure employee records are compliant with legal and company standards. Help implement and monitor HR policies and procedures. Support audits or record requests by preparing accurate documentation. Training and Development Assistance Register employees for training sessions and maintain attendance records. Assist in compiling training materials and tracking completion. Coordinate logistics for HRled workshops or lunchandlearns. Reporting and Metrics Run HR reports (e.g., headcount, turnover, leave tracking). Support HR metrics tracking for dashboards and leadership updates. Qualifications Snapshot Strong attention to detail and organizational skills. Discretion in handling confidential information. Proficiency with Microsoft Office and HR systems. Excellent communication and time management skills. Physical Requirements Ability to sit or stand for extended periods while managing the front desk. Light lifting (up to 20 pounds) for handling mail, packages, and office supplies. Frequent walking or standing to assist with various office tasks. Manual dexterity to operate office equipment, such as phones, computers, and printers. Post office runs often, must have a valid driver’s license.
