Compass of Hope Counseling, a trusted mental health agency with offices in Hooksett, Hampton, and Concord, NH, is seeking a part time Receptionist & Office Assistant for the Concord office. You’ll play a vital role in supporting our growing team of clinicians and ensuring the office runs smoothly while providing a welcoming, professional first point of contact for our clients.
What You’ll Do:
Greet clients with warmth and professionalism, both in person and over the phone Schedule meetings, appointments, and conferences for staff and executives Manage client intake, appointment reminders, and general scheduling tasks Coordinate with billing and insurance processing teams as needed Maintain a clean, organized, and efficient office environment Manage office supplies (stationery, water, kitchen items, tech equipment) and ensure restocking Oversee office maintenance by liaising with vendors, scheduling repairs, and maintaining cleanliness Organize office layout and space usage to maximize efficiency Act as the main point of contact for office-related queries, promoting internal communication Support office events, team-building activities, client visits, and conferences Manage filing systems (digital and paper) for HR, operations, and financial records Draft, format, and distribute reports, presentations, and other documents Ensure compliance with health, safety, legal, and regulatory standards Maintain and troubleshoot office equipment; coordinate with IT and vendors for support Process invoices and track payments related to office services and supplies Deliver checks to the bank as needed Handle mail duties, including sending forms, checking the mail, and managing incoming/outgoing correspondence Collaborate with billing to resolve claims and payment issues Call EMR or vendors with any concerns, tech issues, or service questions Supervise and schedule other administrative staff, providing guidance and support Identify areas for process improvement and implement office efficiency solutions Foster a positive, welcoming office culture that supports staff and client wellbeing Welcome visitors and clients to ensure a pleasant experience Respond to questions from administrative staff and assist with problem-solving Any other tasks as assigned to help support and manage day-to-day operations
