Receptionist Summary:
Well established, and growing 50 year old CPA firm is currently looking for their next receptionist! The receptionist is the first point of contact for clients, vendors, and guests, and plays a critical role in creating a welcoming and professional environment. This individual will also provide general administrative support to ensure smooth day-to-day operations.
Receptionist Key Responsibilities:
Client Interaction & Front Desk Duties
- Greet clients, visitors, and staff in a courteous and professional manner
- Answer and route incoming phone calls to appropriate staff members
- Maintain a tidy and organized reception area
- Manage the firm’s main inbox and forward inquiries appropriately Administrative Support
- Schedule client appointments and maintain meeting room calendars
- Assist with scanning, copying, mailing, and filing documents
- Maintain office supplies inventory and place orders as needed
- Receive and distribute mail, packages, and courier deliveries
- Prepare and assemble tax return folders or client packets during busy seasons Internal Coordination
- Support partners, managers, and administrative staff with various tasks
- Assist with organizing firm events, meetings, and training sessions
- Maintain confidentiality of sensitive client and firm information
Required Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree a plus)
- 1-2 years of experience in a receptionist or administrative role, preferably in a professional services or accounting environment
- Strong verbal and written communication skills
- Proficient in Microsoft Office Suite (Outlook, Word, Excel)
- Professional appearance and demeanor
- Ability to multi-task, prioritize, and maintain composure under pressure
Preferred Qualifications:
- Experience with accounting/tax software (e.g., CCH, ProSystem fx, Thomson Reuters)
- Familiarity with handling sensitive financial or client documents
- Bilingual (if applicable to client base)
Work Schedule:
- Full-time, , typically 9;00 AM to
- Overtime or extended hours may be required during tax season (January-April)
