As our business continues to grow, we’re seeking an experienced full-time professional services Receptionist to support the success of our Firm. Summary of Responsibilities The Receptionist is the first and most frequently seen and talked to person in our firm. The professional communication and presentation skills of the Receptionist directly reflect on the professional image of the entire firm. Therefore, we are committed to do our best to help the Receptionist do an excellent job of managing the flow of clients and communications into and out of our offices. The Receptionist reports directly to the Controller.
ESSENTIAL FUNCTIONS
Greet clients and guests courteously and answer in-coming phone calls. If clients are here for a conference, the Receptionist should warmly greet the client by name, offer client a beverage, and escort them to the appropriate conference room. Answers incoming calls in a friendly, courteous manner and directs calls to the appropriate person. Keeps track of out-of-the-office staff (including their scheduled return time to the office and contact number if appropriate). Checks MS Outlook calendars. Daily mail runs to the Post Office to drop off and pick up mail. Review Microsoft Outlook calendars for meetings and times when staff are out of the office. Timely and efficient sorting and distribution of incoming mail.
Other mail processing responsibilities include:
posting mail and processing certified and Fed Ex mailings. Assist Marketing with mass mailings. Maintain Learning Library.
OTHER FUNCTIONS
Responsible to see that the conference rooms, entrance area, and kitchen area are generally neat, clean and organized throughout the day and especially at the end of the day. The receptionist needs to maintain adequate levels of coffee, soda, etc. Checks the conference room daily for supplies (legal pads, pen and pencils, etc.) Checks after meetings and “prep” for the next meeting. Makes recommendations for revisions to current business practices, to improve workflow, efficiency and elimination of manual processes. Assists other departments as requested or assigned. Performs related duties as may reasonably be necessary in the course of business.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED
Associate’s degree in related field with relevant work experience or relevant work experience. Minimum three years’ experience in similar role. Proficiency in use of computers and Microsoft Office programs. Ability to translate complex information into understandable and usable client language/terminology. Excellent social skills and people skills essential.
LANGUAGE SKILLS
Must be able to speak, read, write, and understand the primary language(s) used in the workplace ; bilingual skills a plus. Ability to read, analyze, and interpret general business information, including but not limited to Company policies and procedures. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as percentages, tax / accounting data, etc.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
PHYSICAL DEMANDS
