Position Overview:

We are looking for a Front Desk person to organize and coordinate administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. Front Desk personnel’s responsibilities include scheduling meetings and appointments, greeting visitors, and providing general administrative support to our employees. Previous experience as a Front Desk Personnel or Office Administrator would be an advantage. A successful Front Desk Personnel should also have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties. Ultimately, the Front Desk Personnel should be able to ensure the smooth running of the office and help to improve company procedures and day-to-today operation.

Key Areas of Responsibilities:

Greet clients and visitors warmly, creating a welcoming and comfortable environment. Oversee daily operations of the office, ensuring all administrative processes run smoothly. Coordinate schedules and appointments for behavioral health professionals. Manage patient records, ensuring accuracy, confidentiality, and compliance with relevant regulations. Handle incoming calls, emails, and inquiries, providing timely and accurate information. Maintain office supplies and equipment, ordering as needed. Assist clients in scheduling appointments, verifying insurance information, payment, and completing necessary paperwork. Address clients concerns or issues promptly and professionally. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable. Answers questions about organization and provides callers with address, directions, and other information. Conduct Urine Screens if necessary. Maintain policies and procedures, coordination of electronic record retention and distribution, and implementation. Maintain a professional workspace and overall office appearance, including but not limited to the reception, desk, lobby area, and conference rooms. Perform other administrative duties as assigned.

Qualifications:

Proficiency in MS Office (MS Excel and MS Outlook, in particular) Hands on experience with office machines (e.g. fax machines and printers) Excellent time management skills and ability to multi-task and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills in a fast-paced environment High School degree: additional qualification as an administrative assistant or Secretary will be a plus If you are a detail-oriented individual with strong organizational skills who can keep up in a fast-paced environment, we would love to hear from you!
