TASKS, DUTIES, RESPONSIBILITIES
The tasks, duties and responsibilities may include but are not limited to the following: Create computer templates and databases as necessary to track program information, documents, and general information, and maintain those databases. Filing, copying, maintaining organized office. Secretary to the Board of Directors Place orders for office supplies as needed or required. Make travel arrangements and handle related responsibilities. Assist with placing ads for open employment positions. Ensure appropriate inventory of materials for prison and residential treatment programs (Manual and Journals). Generate certificates for Continuing Education Programs. Review sign in and out sheets for the following information: Social Security number, Signature, sign in and out times, hours attended training – this information will determine if an attendee will receive training hours or CEUs. Enter information into Access database. Process certificates, memos and verification sheets. Generate prison program certificates. Generate Corporation newsletter and handle related responsibilities. Generate correspondence, reports, forms, etc. as required. Handle correspondence in a confidential and timely manner. Assemble and disseminate presentation information and plan, arrange and implement presentation programs for outside agencies. Revise manuals as needed. Ensure effective communication with supervisors and co-workers. Act as receptionist as needed. Answer phones as needed. Schedule appointments as needed. Assist the President and Executive Director with tasks as assigned. Assist other Administrative Assistant, Executive Assistant, and Accountant with tasks as needed. Other duties as assigned.
PHYSICAL REQUIREMENTSEDUCATION AND EXPERIENCE NOTE
Unless stipulated by contracts, the President and/or Executive Director has the authorization to waive the educational requirement for an individual demonstrating exceptional abilities and experience. Ability to lift office supplies, and other normal office items up to 20 lbs. Ability to operate a computer, copier, telephone, and other office equipment with reasonable accommodations. High school degree. Two years experience in a secretarial position. Possess exceptional working knowledge of computer software and hardware operations and skills, specifically with Microsoft Office, Microsoft Access and Microsoft Publisher.
