Location:
HUMAN RESOURCES SERVICES DEPARTMENT POSITION PURPOSE

The person holding this position will greet and interact with visitors in a positive and professional manner, including in person, on the phone, and in writing. This person will be able to provide basic information about our school district as requested by patrons. This person will also provide general clerical support to the Human Resources Department.

ESSENTIAL FUNCTIONS

Utilizes strong bilingual oral communication skills and customer service skills to: Serve as a receptionist; operate multi-line telephone system to receive incoming calls and messages; greet parents, staff and the public; answer and refer telephone and in-person inquiries; direct patrons to destinations and sites; and take messages. Maintain familiarity with general information relevant to Beaufort County School District. Distribute US mail and interschool mail including materials and packages, supplies, messages, etc. for the purpose of disseminating materials and information to the appropriate parties. Perform general secretarial and clerical functions (e.g. scheduling, copying, faxing, data entry, filing, phone management, etc.) for the purpose of supporting office operations. Provide assistance with special projects to include bulk mailings, data gathering, building and/or room set-up, copying, collating, and organizing data for sharing when required. Manage the visitor badge process in order to ensure all visitors to the district are properly identified. Become familiar with the District’s website, to include the District calendar, contact information, and other pertinent information. Listens to complete statements in one language, translates to second, and translates responses from second into first language; expresses either approximate or exact translation, depending on nature of occasion. In simultaneous interpreting, renders oral translation of material and time it is being spoken. Greets and signs in parents/guardians with students, administrators, new employees, contractors, delivery persons and directs them to the corresponding personnel or area of delivery drop offs. Answers questions using the BCSD policies or procedures.

ADDITIONAL DUTIES

Performs other related tasks as assigned by the Human Resources Officer, Chief Administrative and Human Resources Services Officer, Superintendent or other district office administrator as designated by the Superintendent.

QUALIFICATIONS

High school diploma and one year relevant office experience; or general education degree (GED) and three years relevant office experience. Fluent in written and spoken English and Spanish. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Must be flexible and capable of handling stressfull situations.

EXPERIENCE

: Ability to use office software and office equipment, including Microsoft Word, Excel, Google, school-related software, copiers, and fax machines; proficient with English grammar, punctuation, spelling, and vocabulary; and general knowledge of the characteristics and components of the District. Ability to communicate with various groups of people, including communication with parents, teachers, transportation, administrators, and outside agencies. Adapting to changing work priorities; meeting deadlines and schedules; setting priorities. Working as part of a team; working with detailed information/data; schedule activities, meetings, and/or events; gather, process, and distribute information and data; and public service skills to include congeniality, professionalism, and excellent oral and written communication. Receptionist positions may require direct experience or working knowledge of a multi-line phone system. Maintain confidentiality of data as required by law, policy and supervisor’s direction.
