This position serves as Front Desk Receptionist for the Department of Insurance. It maintains the Department’s central switchboard, directs parties to appropriate divisions/units, and maintains Department’s mail processes and supports legal department with mail processing.
Job Functions:
1. Answers front desk telephone and directs the call to the proper division. Checks Agency email account throughout the day and forwards emails to the appropriate division promptly. Provides back-up telephone coverage for other Divisions of the Department as needed. Assists in arranging back-up person(s) to cover front-desk responsibilities when necessary. Coordinates the individuals providing back-up coverage to the front desk and disseminates a monthly front desk coverage and leave calendar. 2. Greets all visitors in the reception area, ensures that they sign in and out of the Department and receive badges, announces their arrival to the proper division and maintains the visitor logs. 3. Coordinates and performs mailroom activities including processing of all incoming and outgoing mail. Processes and/or enters certified mail in an electronic format, including morning and afternoon delivery of mail. Gives receipts for all cash, money orders, and checks received at the front desk. Ensures that the cash box is secured at all times and completes balance sheets to appropriate computer drive daily for auditing purposes. Serves as recipient of all incoming special delivery mail, including FedEx, UPS and USPS, etc. and routes immediately to the appropriate division/staff. 4. Serves as backup to staff of legal services in completing documents for Service of Process. Accepts and processes documents timely that are necessary to effect legal services of process. 5. Performs typing and other general office duties as requested. Assists in applying labels, folding items, and stuffing envelopes for volume mailing as needed for divisions within the Department. 6. Performs other duties as assigned. Minimum and Additional Requirements A high school diploma or equivalent and at least 6 months of work experience in a receptionist capacity to include answering and transferring multiple calls, greeting visitors and completing clerical tasks. Must be able to sit and talk for long periods of time. Must have computer skills in basic computer applications and Microsoft Office products. Knowledge of standard office practices and procedures. Ability to follow written and oral instructions. Ability to effectively communicate and exercise excellent customer service skills. Ability to multi-task and prioritize. Ability to maintain positive professional and working relationships. Ability to type. Additional Comments May exercise limited discretion in interpreting and applying practices and procedures. Work will be reviewed through status meetings and performance reviews by the Procurement Specialist II.
