They may be required to assist in other areas as required. Other duties may be assigned as necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The administrative assistant provides high-level administrative support to the Campus. Resolves complex administrative preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for campus. Answers incoming phone calls and directs phones as necessary. Basic Office Cleaning

  • Empty trash and restock office / restroom supplies as needed.

Act as a receptionist, including greeting visitors, scheduling appointments, and distributing mail to appropriate school personnel. Answer multi-line telephones, take messages, and forward them to appropriate personnel. Answer general questions for students, staff, and visitors. In the absence of the Director, open and lock Campus during day and evening shifts. Notify students regarding course/section openings and/or closings. Perform general record-keeping and prepare routine documents and correspondence for students, faculty, and staff. Prepare and assist in maintaining student records and the center filing system. Receive and/or process forms for students, staff, and faculty including, but not limited to, transcript requests, registrations, add/drop, and change-of-major requests, graduation records as well as personal data changes. Work with the team to support the daily operations of the center. Order supplies and maintains required documents. Perform assigned work to time standards and quality expectations. Account for time and work completed. Other duties as assigned. Qualifications and Skills

QUALIFICATIONS

Associate degree or two years post high school education in administrative assistant or related field preferred. Three (3) to five (5) years’ experience working in Customer Service/ Front Desk preferred. Must be proficient in the English language for both grammar and composition purposes and spelling in order to communicate effectively, to prepare reports, record minutes of meetings, and to compose routine correspondence and other directives. Ability to work with and adapt to various personalities and all levels of personnel within the office. Proficient secretarial and analytical skills to include: typing (minimum 55 WPM), filing, proofreading and editing correspondence, duplication equipment, and standard computer software programs, including the use of spreadsheets, powerpoint presentations, and electronic mail. Must project a highly professional image to contacts both in person and on the phone. Must have exceptional organizational skills including the ability to prioritize work. Must show initiative, the ability to learn new software applications as applicable and be able to work without supervision. Numerical and analytical ability is necessary to prepare statistical reports and other reports that require calculations and compilation of data. Position requires considerable use of discretion, tact, diplomacy and judgment. Must have the ability to maintain security of student records and confidential personnel information . Familiarity with medical and legal terminology helpful but not mandatory. Pay
