This role is responsible for managing the reception of the building, various office preparation and maintenance, and some executive assistant support. Key Responsibilities The Executive Receptionist is the face of our company for visitors to our company headquarters. This role is responsible for overseeing the reception area, maintaining a professional and organized environment and providing essential administrative support to the executive team. The Executive Receptionist must maintain strict confidentiality and handle sensitive information with discretion.

Specific responsibilities include:

Welcoming clients, customers, and visitors with a professional and friendly demeanor. Ensuring all visitors sign in and are directed to the appropriate person or department. Handling incoming and outgoing mail, packages, and deliveries. Assisting with data entry, filing, photocopying, scanning, and other clerical tasks as needed. Overseeing the scheduling and setup of conference rooms and shared spaces. Ensuring office equipment such as printers and copiers are functioning properly. Helping with the coordination of building deliveries, furniture moves, or minor office rearrangements. Coordinating travel arrangements, including flights, accommodations, and ground transportation. Managing calendars, including scheduling meetings, conference calls, and travel schedules.

Requirements:

Qualifications High school diploma or equivalent (GED) required. 1-2 years of experience in a receptionist, front desk, or administrative support role preferred. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (phones, printers, copiers). Strong customer service and interpersonal skills; professional demeanor. Ability to multitask and manage time effectively in a fast-paced environment. Dependable, punctual, and able to maintain confidentiality.
