Summary:
The Receptionist is responsible for managing the front desk at MPM and directing all information to the correct person. This person should exude a welcoming and helpful personality to all clients and coworkers.
Essential Duties and Responsibilities:
- Answer all incoming phone calls and directs inquires to the appropriate MPM staff member.
- Opens and organizes all incoming mail.
- Sends mailers through SouthData and coordinates in house mailers when requested.
- Coordinates office appointments on the Google Calendar
- Coordinates scheduling for the MPM conference room through the Google Calendar
- Responds to portal login requests in both email and Vantaca
- Steps owner transfers through Vantaca to ultimately generate a welcome letter
- Answers billing inquiries as needed through Vantaca and billing email
- Answers homeowner calls into billing as necessary
- Copies, scans, and makes meeting packets for PMs as needed
- Acts as the “Key Master” and manages the assignment and distribution of fobs.
- Support the Assistant Director with billing tasks when the Accounts Receivable Manager is out of the office

Education:
High School Diploma Experience:
- Excellent customer service skills
- High attention to detail and accuracy.
- Excellent verbal and written communication abilities.
- Knowledge of employee relationship building.
- Advanced Microsoft Office skills.
- Accounting software systems knowledge required.
- Self-motivated.
Knowledge of:
- Google Email System
- Web based calendar system (Google calendar preferred)
- Microsoft Office Suite
- Competent using a printer, scanner, and postage machine
- GoTo Phone System
- Dropbox / Shared File System
- Vantaca Master Data System Preferred
- Time Management Processes Ability to:
- Relate well with colleagues and homeowners.
- Communicate clearly and professionally in all written and verbal correspondence.
- Act as a third-party middleman and understand the desires of each party while retaining the firm grasp of association advocacy and MPM obligations
- Affirm MP’s vision, values, goals, and team environment.
- Multi-task with understanding of project and assignment priorities with multiple interruptions.
- Accomplish tasks independently and proactively without requiring constant and direct supervision.
- Seeks ways to advance the efficiency and productivity of MPM.
- Think critically and creatively.
Physical Demands:
- Sit for an extended period of time.
- Lift 25 lbs.
- Meet with internal and external clients.
Internal Collaboration:
- Participate in weekly meetings, including but not limited to: o Weekly Operations Team Meetings o Quarterly Staff Meetings
- Has a mastery of the MPM Flowchart and understands how to efficiently and accurately complete tasks as assigned.
- Takes ownership of MPM’s systems and seeks to effectively partner with Operations and the Management team members to meet company goals and expectations.
- Takes charge of their personal communications by being responsive to emails and voicemails within the MPM 24 hour response expectation.
