Job Summary and Qualifications The Parallon Facilities Receptionist is responsible for managing the front desk, ensuring there is coverage by themselves or a team member or temp when they are out for any reason. Executive professional presence is required to greet all visitors, staff employees, and executives. This includes management and oversight of the following key process areas: What you will do in this role: Greet all visitors and callers to the facility, determine their needs, and direct accordingly. Maintain a courteous and professional attitude and confidentiality with customers and colleagues. Assists with facilities maintenance requests, shipping and deliveries, providing office supply starter bags to new employees and creating nameplates for new cubicle assignments Primary Facilities Management mailbox management – reply to customers professionally, resolve issues or escalate issues and follow up. Space Management software – learn WISP system. Seating assignments for new employees, and keep seating all charts up to date Space management system (WISP) system administration and support for reservations and space assignments, ensuring Parallon and HealthTrust floor are up to date. Work with manager(s) on assignment of new spaces for employees and setting up new reservation seats. Assisting with keeping lease module up to date in space management system. Ongoing analysis of hoteling workstations for Parallon and for HealthTrust floors. Weekly floor walks to keep our space management system up to date as well as notifying manager of any changes Work with Corporate Security to assist in processing and navigating Parallon Corporate visitors. Enter and track Property Management maintenance request tickets for building issues and requests. Manage “Building Keys” inventory. Assist Facilities Management and Project Services teams with MS Office Work, Excel, PowerPoint support as needed. Be able to create excel spreadsheets to provide any necessary analysis requested by leadership or to assist facilities management in any task given Assist with Catering requests and setting up / taking down catered meals for meetings.
What qualifications you will need:
High school diploma or GED required. Associates degree a plus. 1-3 years’ experience as a receptionist or administrative assistant or Bachelor’s degree preferred.
