Office Assistant/Receptionist Dyersburg-Dyer County Humane Society 1120 E Court Street, Dyersburg, TN 38024 Job Overview An Animal Shelter Office Assistant performs a variety of clerical and administrative tasks to support the shelter’s operations. This includes tasks such as receiving and processing payments, handling phone calls, managing records, entering payroll, and assisting the public. Additionally, they may be involved in tasks related to animal care, such as preparing documents for adoption or assisting with vaccinations. The Animal Shelter Office Assistant operates under the supervision of the Director. Must pass a drug test to be hired.
RESPONSIBILITIES
Administrative Tasks Answering phones, taking messages, and directing calls Greeting and assisting visitors and potential adopters Scheduling appointments (adoptions, surrenders, veterinary visits) Maintaining accurate records of animals, adoptions, medical treatments, etc. Data entry and filing (both digital and paper) Managing records and updating pictures in Shelter Manager. Make sure every animal is in the correct kennel placement in Shelter Manager Processing payments for donations and adoptions Processing adoption applications and paperwork Assisting with animal intake and adoption processes Preparing paperwork for medical procedures Prepare all data for Best Friends and send to them monthly Keep up with how many adoptions and surrenders that we have for financial reports Customer Service Providing information about animals available for adoption Explaining adoption procedures and fees Responding to email and phone inquiries Handling complaints or concerns professionally Support to Shelter Staff Assisting with intake and release paperwork Coordinating volunteer or foster applications Communicating between departments Maintain all of the laundry from the kennel area Financial and Inventory Support Accepting payments and issuing receipts Assisting with donation tracking Ordering and managing office supplies General Office Maintenance Keeping the front office area tidy and organized Restocking brochures, forms, and informational materials Keep the front office smelling good so that people are welcomed by the entrance.
