Job Description
Description We are looking for a detail-oriented and organized Front Desk Coordinator to join our team in Chattanooga, Tennessee. In this short term contract positoin, you will play a key role in supporting our non-profit organization’s daily operations by managing administrative tasks, coordinating schedules, and assisting with client services. This role is perfect for someone who thrives in a fast-paced environment and enjoys being the first point of contact for a variety of stakeholders.
Responsibilities:
- Schedule appointments, complete intake paperwork for new clients, and maintain accurate records in the organization’s database.
- Manage and update calendars, coordinate meeting schedules, and prepare reports as needed.
- Provide administrative support to the Director by preparing materials for lessons, conferences, and training sessions, including creating folders, laminating documents, and handling mass mailings.
- Assist with clerical tasks such as report generation, expense tracking, and billing support.
- Ensure accurate data entry and maintain the integrity of databases to support operational needs.
- Handle receptionist duties, including answering multi-line phone systems and providing excellent customer service.
- Assist with donation processing and inventory management to support organizational needs.
- Order and maintain office supplies to ensure the smooth functioning of daily operations.
- Support staff with various administrative tasks and contribute to team projects as assigned. Requirements
- At least 1 year of experience in an administrative or front desk role.
- Proficiency in Microsoft Word and Microsoft Excel for document preparation and data management.
- Strong skills in managing databases and performing high-quality data entry.
- Experience with answering multi-line phone systems and providing customer service.
- Ability to handle clerical tasks such as report generation, expense tracking, and scheduling.
- Excellent organizational skills and attention to detail.
- Strong communication skills, both written and verbal, to interact effectively with clients and staff.
- Ability to multitask and prioritize work in a fast-paced environment.
