As a Veterinary Receptionist, you will be the first point of contact for our clients and their pets. Your primary role will be to manage client interactions, ensure smooth patient flow, and provide administrative support to our clinical team. Knoxville, TN | $15-$17/hr | Full-Time (Mon, Tue, Thu, Fri 7:30am-6pm + 2 weekends/month)
Key Responsibilities Client Interaction & Customer Service:
Greet and check in clients and patients in a friendly and professional manner. Answer phone calls, schedule appointments, and assist clients with questions regarding services, pet care, and billing. Provide clients with information about their pet’s health, procedures, and appointments in a clear, compassionate way.
Appointment Scheduling & Client Coordination:
Coordinate appointment scheduling, ensuring efficient use of the hospital’s time and resources. Process and track medical records, client communications, and billing information accurately. Manage client concerns or complaints and escalate issues to the hospital management team when needed.
Administrative Duties:
Handle front-desk tasks, such as filing, record-keeping, and managing the flow of patient records. Process payments, process insurance claims, and manage transactions. Ensure proper organization of medical records and assist in keeping clinic files and documents up-to-date. Support to
Veterinary Team:
Assist the clinical team by ensuring patients are checked in and ready for appointments on time. Help maintain a clean and organized reception area, ensuring the hospital environment is welcoming to clients and patients.
Team Collaboration & Office Efficiency:
Collaborate closely with veterinary assistants, technicians, and veterinarians to ensure the smooth flow of patients throughout the hospital. Maintain office supplies and equipment, ensuring everything is stocked and in good working condition. Skills, Knowledge & Expertise to be
Successful Experience:
Minimum 2 years in a veterinary receptionist or client service role
Schedule Availability:
Must be available Mon, Tue, Thu, Fri from 7:30am-6:00pm and 2 weekends per month
Education:
High school diploma or equivalent
Communication Skills:
Strong verbal and written communication skills with the ability to explain procedures and information clearly to clients. Excellent interpersonal skills, with a professional and empathetic approach to dealing with clients.
Customer Service & Multitasking:
Ability to manage multiple tasks and work effectively under pressure. Proven ability to handle a high volume of client calls and inquiries with a friendly, solution-oriented attitude. Attention to
