About Us The Smith Clinic for Physical Therapy is a locally owned outpatient physical therapy clinic dedicated to personalized, high-quality care. We are seeking a Front Desk Coordinator who will uphold our values and ensure a smooth, friendly, and professional front office experience for every patient and visitor. Position Summary The Front Desk Coordinator is responsible for a wide range of administrative and customer service duties that support daily clinic operations. This role requires excellent communication skills, attention to detail, and a heart for serving others. You’ll handle scheduling, check-in/check-out, patient intake, documentation, and day-to-day clinic coordination in alignment with our mission and standards of care. Key ResponsibilitiesPatient Check-In & Customer Service Welcome all patients with a warm, respectful greeting Verify appointments, update information, and manage check-in using WebPT Review intake paperwork, scan and upload documents, and prepare files for therapists Collect co-pays and offer payment options, including saving a card on file Ensure every patient feels valued and well-informed Scheduling & Calendar Management Schedule new and returning patients according to therapist frequency and patient availability Offer consistent weekly time slots to promote regular attendance Maintain and monitor waitlist; follow up on cancellations and no-shows Confirm next-day evaluations via phone call, voicemail, and text message Document all communications and scheduling updates in WebPT New Patient Intake & Communication Respond promptly to inquiries from doctor referrals, online requests, or patient calls Complete Intake Sheets over the phone and gather essential demographic, medical, and insurance information Set up patient charts in WebPT and send digital intake forms Educate patients on what to expect at their first visit, including policies, billing, and appointment logistics Administrative Duties & Documentation Scan, label, and upload clinical documents (referrals, plans of care, progress notes, imaging, ID/insurance cards) Notify the Insurance Manager of key updates for billing and authorization purposes Assist therapists with daily schedule prep, including flowsheet printing and patient notes Maintain compliance with HIPAA and clinic standards in all documentation Open and close the front desk: turn on/off systems, check messages, and complete daily checklist Keep all front office and patient areas clean, organized, and stocked Prepare end-of-day financial and schedule reports Qualifications High school diploma or equivalent required (associate’s degree or higher preferred) Minimum 2 year experience in a front office, medical, or customer-facing role Strong communication, interpersonal, problem-solving skills and willingness to learn and adapt Organized and adaptable with the ability to multitask Proficient in, or able to learn, electronic systems like WebPT, Weave, and basic office software Must be punctual, dependable, and willing to learn new systems and processes Preferred Skills (Not Required) Prior experience in physical therapy or medical office Understanding of insurance verification and billing processes Bilingual (English/Spanish) Why Join The Smith Clinic?
