The ideal candidate will be responsible for managing incoming calls, directing them to the appropriate departments, and providing exceptional customer service. This role requires excellent communication skills, a friendly demeanor, and the ability to handle multiple tasks efficiently. Duties Operate multi-line phone systems to manage incoming and outgoing calls. Scheduling patients for appointments. Confirming, canceling and rescheduling patient appointments. Managing and scheduling referrals from outside medical offices. Direct calls to the appropriate personnel or department while ensuring prompt service. Provide information and assistance to callers, addressing inquiries with professionalism. Perform data entry tasks accurately and efficiently as required. Maintain a clear and organized log of calls received and messages taken. Exhibit strong phone etiquette while communicating with callers. This is a floating position so there will be additional duties as training continues within the office. This may include assisting at the front desk or other departments as needed. Requirements Proven experience in a similar role is preferred but not mandatory. Experience with EMR systems, preferably modernizing medicine, is a plus. Strong data entry skills with attention to detail. Ability to communicate effectively in English; additional languages are a plus (multilingual/bilingual). Familiarity with phone systems and dispatching procedures is advantageous. Excellent administrative skills with proficiency in clerical tasks. Ability to handle high call volumes while maintaining composure and professionalism. Strong organizational skills and the ability to prioritize tasks effectively. A friendly and approachable demeanor that enhances customer interactions.
