Director of Front Office Job Summary:

The PBX Operator is responsible for operating the hotel’s telephone switchboard, handling all incoming, outgoing, and internal calls efficiently and professionally. This role serves as the communication hub for the hotel, ensuring guest requests and internal messages are routed promptly and accurately.

Key Responsibilities:

Answer and direct all incoming calls promptly, courteously, and professionally using the hotel’s telephone system and reservations system, including creating future reservations. Handle guest requests and complaints by directing calls to appropriate departments or team members. Log wake-up calls accurately and ensure they are delivered on time. Monitor emergency lines and procedures; act swiftly and appropriately in case of emergencies (e.g., fire, medical, security). Maintain confidentiality and professionalism when dealing with guest information or internal matters. Provide directory information to guests and employees. Assist in paging staff or making announcements via the public address system when required. Record and relay messages to guests and departments as needed. Monitor alarm systems and report any irregularities to the appropriate personnel. Coordinate with housekeeping, front desk, and engineering teams for guest service requests. Maintain cleanliness and orderliness of the PBX area and equipment.

Qualifications:

High school diploma or equivalent. Previous experience in a hotel or customer service environment preferred. Excellent verbal communication skills. Proficient in operating PBX or telephone systems. Ability to remain calm and professional in high-pressure situations. Strong attention to detail and organizational skills. Flexibility to work shifts, including nights, weekends, and holidays.

Work Environment:

This position is typically in an office setting within the hotel. It involves long periods of sitting and frequent use of a telephone headset and computer system.
