PBX Operator/ AYS 3.5 3.5 out of 5 stars 539 E Parkway, Gatlinburg, TN 37738 PBX Operator / AYS Job Description Provides prompt, courteous and efficient handling of all incoming calls and assistance for outgoing calls which transpire through PBX. Also plays an integral part in assisting with emergencies, (fire, medical, power/system failure) by contacting the designated personnel for immediate assistance. AYS (At Your Service)•Provide guests with Resort and area information. Assist guests with requests and dispatch appropriate personnel to fulfill requests. Always follow-up with guests to ensure satisfaction. Receive and process room service orders. May at times need to handle guest reservations. Primary Responsibilities Maintain complete knowledge of and comply with all departmental policies/service procedures/standards. guests’ needs, respond promptly and acknowledge all guests, however busy and whatever time of day. Maintain positive guest relations at all times. Resolve guest complaints, ensuring guest satisfaction. Monitor and maintain cleanliness, sanitation and organization of assigned work areas.

Maintain complete knowledge of:

scheduled daily activities, in-house groups, hotel extension numbers. beeper number/radios carried by hotel personnel, all special requests (DND, wake-up calls, etc.), hours of operation of each outlet, features and services provided by the hotel. Previous experience in PBX or a similar position in a luxury hotel is preferred. Fluency in English both verbal and non-verbal. Provide legible communication and messages. Compute basic arithmetic. Flexible availability.

Ability to:

prioritize and organize work assignments; understand guest service needs; exercise good judgment under pressure situations; maintain confidentiality of guest information and pertinent hotel data; and work with minimal supervision Accommodate all telephone, email and page requests promptly in a congenial manner. Respond to all incoming telephone calls within 3 rings, using proper salutation and closing. Provide callers with accurate information on hotel facilities and services. Requirements Must be willing to work holidays and weekends. Friendly, outgoing personality and professional appearance required. Hospitality experience and/or customer service experience preferred. Positive attitude and excellent communication skills a must. Must be able to remain in a stationary position for extended period of time. The person in this position frequently communicates with parking guests who may inquire about parking and visitor information. Must be able to exchange accurate information in these situations. Must be able to detect incoming traffic and assess parking flows. Constantly works in outdoor weather conditions. Employees will be required to wear a uniform and follow appropriate grooming standards. The worker is required to have visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned
